There are 10 simple points to consider when choosing digital signature solutions (standard electronic signature) for your organization. Although not all are obvious, are critical make or break factor for the successful implementation, management and use of such a system, impacting on all aspects of their business processes. To ensure a low Total Cost of Ownership (TCO) and a rapid return on investment (ROI) of your digital signature solution, read on.
1. Seals documents – This is the basic building block of a true digital signature solution. Ensure the document is stamped by the changes, whether incidental or the result of a long night of piracy on the network.
Tip: Only the digital signatures based on public key infrastructure (PKI) technology can truly seal a document. Any other solution can be easily forged.
2. Support multiple applications – Many digital signature solutions only support PDF and Word applications that may be enough support for some. However, if your organization needs to digitally sign in additional programs such as Excel, AutoCAD, and web applications, this type of solution is below their needs.
Tip: Make sure the applications you intend to sign on your organization are compatible with the solution you choose.
3. Graphical Signatures – In standard applications that have digital signature capability, almost all lack graphical signature support. This is a major weakness. Graphical Signatures ensure signature is visually noticeable, and have a psychological impact: the signer is assured that they have signed the document and is not legally supported.
Tip: Sometimes they require different graphical signatures (eg, initials, full signature). Verify that your solution has this capability.
4. Several firms - Many digital signature solutions can not modify the document when applying a signature. This is good in terms of sealing the document but problematic if the technology also prevents additional users from adding their signatures needed for the document.
Tip: If your business requires several people to digitally sign a document, make sure your solution offers this feature.
5. Zero IT Management – Note that the implementation time of a system is often long and many resources. IT staff may be spending weeks each year chose the solution for managing digital signature. Moreover, the company may choose to hire an additional staff member to manage the task, or implement a service assistance only to ensure that users can digitally sign your documents. The costs can skyrocket.

8. Seamless Record User – the implementation of its digital signature solution should be as simple as possible. Make sure the moment the solution has been deployed, personnel your organization can start digitally signing documents without having to start a "wizard" to enroll or call the department's IT support.
Tip: Make sure your solution is able to automatically and seamlessly updating user profiles from the user directory of the company.
9. Easy to use – sure to choose a system that is easy to use. You do not want to run a personal assistant when a) burden of signature application on your PC and then B) every other time you want to sign a document. The involvement of IT staff should be kept to a minimum.
Tip: You should take one click to make your document is sealed and legally compliant.
10. Total Cost of Ownership – TCO Not everyone believes in acquiring a digital signature solution. But to make sure not to pay too much in the long term, the costs taken into account: the initial cost product, deployment, help desk, digital certificates (which may be a recurring annual cost), and development support for the application you going to sign with.
Council: Draft your TCO three years in the future to reveal the hidden costs such as annual recertification.
